Conference Coordinator Job Description
This outline does not include every task, but provides a good feel for the nature of the position. Conference Coordinators will be trained to handle these and other duties.
- Supervise desk and/or security staff
- Schedule staff
- Assign tasks/duties
- Train staff as needed
- Duty one night per week and every third weekend starting on Friday and ending Monday morning.
- Oversee the smooth operation of all desk functions
- Communicate daily with staff
- Control desk monies, keys and paperwork
- Handle staff incentive programs, coaching and disciplinary needs
- Act as group contact and University liaison for all assigned groups
- Contact groups to clarify details for meeting space, catering, meal needs, rooming assignments and arrangements
- Prepare check-in materials
- Follow through on all needed details and arrangements
- Invoice group upon their departure
- Calculate used room nights
- Verify meal service and catering utilization
- Assess losses and damage charges
- Prepare preliminary billing
