Conference Assistant Job Description
Works under direct supervision of a Conference Coordinator, with general supervision from the Conference Manager, and an Area Coordinator from Residence Life when working at the SRC desk. Assists conference attendees and Summer School residents in SRC and Santa Clara with functions centered in their assigned hall during the summer conference season.
Duties & Responsibilities
- Covers the residence hall desk during hours of operation.
- Answers telephone and routes incoming calls.
- Keeps log of events that occur during the shifts worked in Conference Assistant notebook.
- Maintains accurate cash drawer (used for change and vending refunds).
- Handles intake of cash for losses, damages and pay-per-night arrangements.
- Records borrowed equipment and pairs keys with appropriate systems.
- Enters reported work orders into general housing system via phone or computer system, according to the hierarchy created by Maintenance and Housekeeping
- Checks conference guests in and out.
- Issues room keys and takes thorough inventories of building keys.
- Issues meal cards.
- Gives directions.
- Acts as a resource for conference guests.
- Handles preliminary emergency protocol when necessary.
- Acts as a representative of the University of New Mexico.
- Performs other responsibilities, assigned by supervisors, relating to assisting conferees, service to conference groups, and running of the hall desk.
Knowledge, Skills & Abilities Needed
- Possess strong interpersonal and communication skills. Able to work with a diverse population.
- Able to analyze and solve problems within provided guidelines.
- Capable of handling cash accurately and responsibly.
- Can follow written and verbal instruction. Ability to keep accurate records within provided format.
- Demonstrate basic computer skills (after provided training) with pertinent software.
- Must maintain confidentiality.
- Must be able to work alone and with little direct supervision.
- Able to stay calm under pressure.
- Capable of instituting emergency protocol based on instruction.
Preferred Knowledge, Skills, Abilities & Experience
- Knowledge of Residence Hall and Conference Services policies.
- Past experience living in UNM residence hall system.
- Experience with and knowledge of customer service standards.
Conditions of Employment
- Must have minimum of 2.0 cumulative grade point average.
- Must have been enrolled in Spring Semester and enrolled for Fall Semester or attending Summer School.
- Must comply with any other Student Employee regulations.
